Interviewers at a cybersecurity scale-up were losing five hours a week writing up interviews. We connected their video calls to an AI pipeline that transcribes each conversation and files structured notes and a draft scorecard within ten minutes.

The challenge
The team ran around 35 interviews a week, and every one demanded a written debrief. Interviewers either typed during the call — and missed half the conversation — or reconstructed it from memory days later. Each interviewer burned about five hours weekly on write-ups, notes arrived late or never, and only 60% of candidates had complete records before the decision meeting.

We wired their calendar and video platform into a Make scenario with OpenAI at its core. Each recorded interview is transcribed automatically the moment it ends; AI then distills strengths, concerns and verbatim key quotes into the company's debrief format and drafts a scorecard with suggested ratings. The interviewer gets it on Slack for a two-minute confirm-or-edit pass, and everything files itself to the candidate's ATS record.
How it works
- 01
Interview recorded
Video interviews are recorded automatically through the calendar integration, with candidate consent captured up front.
- 02
AI transcribes
The recording is transcribed minutes after the call ends, speaker by speaker.
- 03
Notes structured
AI distills strengths, concerns and key quotes into the company's standard debrief format.
- 04
Scorecard drafted
A pre-filled scorecard reaches the interviewer for a two-minute confirm-or-edit pass.
- 05
Filed to the ATS
Confirmed notes and scores attach to the candidate record, visible to the whole panel.

The impact
Note-writing is gone — five hours per interviewer per week, back to zero. Structured notes and a draft scorecard now land within ten minutes of every call, and 100% of interviews are fully documented before the debrief, up from 60%. Hiring decisions rest on quotes and evidence, not fading memories.
Questions about this automation
How are interviews recorded and transcribed?
The automation watches the interview calendar, and when a recorded video call ends it collects the recording and sends it for transcription, speaker by speaker. Candidate consent is captured in the invitation before the call. Interviews without a recording are skipped, and the interviewer is reminded to add notes by hand.
What does the AI include in the debrief notes?
Notes follow the company's own debrief format: strengths, concerns, verbatim key quotes and evidence for each competency on the scorecard. The draft scorecard suggests a rating with the quote behind each one, so the interviewer can see why it was proposed and change it in a couple of minutes.
Does the interviewer still have the final say on scores?
Yes. The draft reaches the interviewer on Slack, and nothing is filed to the ATS until they confirm or edit it. The confirmed version is what the hiring panel sees, while the full transcript stays attached to the candidate record for reference during the decision meeting.
