Advisors at an independent financial firm spent 45 minutes digging through systems before every client meeting. We built a nightly automation that pulls portfolio data, open tasks, and last-meeting notes, and GPT assembles a one-page brief — prep now takes 5 minutes.

The challenge
Preparing for a client meeting meant opening the portfolio platform, the CRM, the task manager, and old email threads — about 45 minutes per meeting, multiplied across roughly 60 meetings a week. Under time pressure, around 30% of meetings started unprepared, with advisors skimming notes in the corridor and missing open items clients expected them to remember.
Before and after
Prep time per meeting
−89%Meetings starting unprepared
−100%The automation
We built an automation that reads each advisor's calendar every evening and, for every meeting the next day, pulls current portfolio positions and performance, open tasks, recent correspondence, and notes from the last meeting. GPT condenses it all into a structured one-page brief — talking points, outstanding items, and life events worth mentioning — delivered to the advisor's inbox the night before. Every meeting gets a brief, automatically, with no one requesting anything.
How it works
- 01
Calendar scan each evening
The automation reads every advisor's calendar and identifies tomorrow's client meetings.
- 02
Data pulled from every system
Portfolio positions, performance, open tasks, recent emails, and last-meeting notes are gathered per client.
- 03
GPT writes the brief
Everything is condensed into a structured one-page brief with talking points and outstanding items.
- 04
Delivered the night before
Each brief lands in the advisor's inbox in the evening, ready for a five-minute read.
Starts from
- Tomorrow's meetings
- Portfolio & CRM data
Delivers
- One-page prep brief
- Advisor inbox delivery
- Open task list
The impact
Prep time fell from 45 minutes to 5 per meeting — about 40 hours returned to the firm every week across 60 briefs. Unprepared meetings dropped from 30% to zero, 100% of meetings now open with full context, and clients notice advisors who remember everything.
Questions about this automation
Where does the meeting brief get its information?
Each evening the automation reads every advisor's calendar and finds the next day's client meetings. For each client it pulls current portfolio positions and performance, open tasks, recent emails and the notes from the last meeting, drawing on the portfolio platform, the CRM and the task manager.
What does the one-page brief contain?
GPT condenses the data into a structured brief: a portfolio snapshot, changes since the last meeting, open items, suggested talking points and life events worth mentioning. The firm sets the format, and the brief notes where each item came from so advisors can check figures before the meeting starts.
How is client data handled when AI writes the brief?
Data is read through each system's own API, limited to the fields the brief needs, and briefs go only to the advisor who owns the meeting. Account numbers can be left out of what the AI sees. Pulling from several systems makes it a multi-step build, usually rolled out in stages, one source at a time.
