2.5×The automation
We built a flow that takes each request, drafts a quote from the agency's pricing template with an AI step, and emails it to the prospect with scheduled reminders until they reply.
How it works
- 01
Request captured
Every quote request enters the flow the moment it arrives.
- 02
AI drafts the quote
An AI step builds a ready quote document from the agency's pricing template.
- 03
Quote sent
The quote is emailed to the prospect automatically, with the agent's details.
- 04
Scheduled reminders
If there's no response, timed follow-ups go out until the prospect replies.
- 05
Reply to the agent
The moment a prospect responds, the agent is notified to close the deal.

Delivers
- Quote sent
- Follow-up
The impact
Quote turnaround shortened by about 60%, and more prospects respond thanks to consistent follow-up.
Questions about this automation
How does the AI build the quote document?
The AI step takes the details from the quote request, such as coverage type, limits and business information, and fills the agency's own pricing template. Rates come from the agency's pricing rules, so the AI assembles the document while the pricing logic stays under the agency's control.
How long do the follow-up reminders continue?
The agency sets the sequence, for example a reminder after two days, another after a week and a final check-in later on. The sequence stops the moment the prospect replies, and the agent is notified right away to pick up the conversation and close the deal.
Can an agent review a quote before it is sent?
Yes. The flow can send standard quotes straight to the prospect and hold quotes above a set premium, or with unusual coverage, for an agent to check first. A common setup starts with a review step for every quote and removes it for standard quotes once the output is trusted.
