Right after each webinar, attendees and no-shows receive tailored follow-ups, and the most engaged are handed to sales while interest is still high.

The challenge
After every webinar, the marketing team manually exported lists and sent generic follow-ups days later. By then most of the interest had cooled and many leads were never contacted.

We built a Make flow that pulls the attendee report, segments people by whether they attended and how long they stayed, and sends each group a relevant recap and next step. Highly engaged attendees are flagged in the CRM and handed to a sales rep automatically.
How it works
- 01
Webinar ends
The attendee report is pulled automatically the moment the session closes.
- 02
Smart segmentation
Contacts split by attended vs. no-show and by how long they stayed.
- 03
Tailored follow-ups
Each segment receives a relevant recap and a clear next step — within the hour.
- 04
Engagement flagged
Highly engaged attendees are marked in the CRM as sales-ready.
- 05
Sales takes over
Reps reach out while the webinar is still fresh in the prospect's mind.

The impact
Every attendee is now followed up within an hour, sales receives qualified leads while interest is fresh, and the marketing team has reclaimed hours of manual work after each event.
Questions about this automation
Which webinar platforms can the flow pull attendee data from?
Most webinar tools, including Zoom, provide an attendee report or an API with registration, attendance and time in session. The flow fetches that report when the session ends, so nobody exports a CSV. If a platform has no API, an export dropped into a shared folder can start the same flow.
How are attendees segmented?
The usual segments are no-shows, short attendees and people who stayed for most of the session, plus anyone who asked a question or answered a poll. Each segment gets its own recap email and next step, such as the recording for no-shows or a booking link for the most engaged. The marketing team sets the thresholds.
When does a contact get handed to sales?
When engagement passes the threshold the team defines, the contact is flagged as sales-ready in the CRM and assigned to a rep, who gets a task with the session details and any questions asked. Everyone else stays in marketing follow-up. Simple automations like this are usually live within days once the webinar tool and the CRM are connected.
