A regional ISP was losing one installation slot in five to no-shows, with dispatchers burning hours on scheduling calls. We built self-serve booking by technician zone, WhatsApp confirmations and instant waitlist backfill — dropping no-shows from 22% to 6%.

The challenge
Scheduling a fiber installation took an average of three phone calls, and customers who booked two weeks out simply forgot: 22% of appointments ended with a technician outside an empty house. Cancellations arrived too late to refill, so paid crews idled between jobs while the install backlog stretched past three weeks.

−62%The automation
We connected the order system to a self-serve scheduler that only offers slots matching the customer's address to the right technician zone and real crew capacity. Bookings confirm instantly on WhatsApp, with a day-before reminder that asks for one-tap confirmation or rescheduling. Any cancellation triggers immediate backfill offers to the waitlist for that zone, and confirmed jobs assemble into each technician's daily route automatically.
How it works
- 01
Order triggers booking link
The moment a fiber order lands, the customer gets a link showing only slots their zone's crews can actually serve.
- 02
WhatsApp keeps it confirmed
Instant confirmation, then a day-before reminder with one-tap confirm or reschedule — forgetting becomes hard.
- 03
Cancellations backfill themselves
A freed slot triggers immediate offers to waitlisted customers in the same zone; first to accept takes it.
- 04
Routes build overnight
Confirmed jobs assemble into each technician's day route, sequenced by geography and job length.
- 05
Dispatch sees the exceptions
Dispatchers manage a dashboard of edge cases instead of a phone queue.

The impact
No-shows fell from 22% to 6%, and 80% of cancelled slots now refill the same day from the waitlist. Scheduling calls dropped from three per install to zero, weekly completed installations rose 24% with the same crews, and the install backlog shrank from three weeks to eight days.
Questions about this automation
How does the booking link know which slots to show?
When an order lands, the customer's address is matched to a technician zone. The booking link then shows only the slots that zone's crews can serve, based on real capacity and typical job length. Customers pick a time themselves, and the booking is written back to the order system and the dispatch calendar.
How do the WhatsApp reminders reduce no-shows?
A confirmation goes out on WhatsApp as soon as the slot is booked, using an approved message template. The day before, a reminder asks the customer to confirm or reschedule with one tap. A reply to reschedule opens the booking link again, and the freed slot becomes available to the waitlist right away.
What happens when an appointment is cancelled at short notice?
The freed slot triggers offers to waitlisted customers in the same zone, and the first to accept takes it. If nobody accepts, the slot stays open for dispatch to fill. Confirmed jobs are assembled into each technician's daily route overnight. It is a multi-step build, usually rolled out in stages, starting with booking and WhatsApp reminders.
