Online coaching check-ins ranked by who needs help first

For: Online personal training business with 80 clients

Typical impact

Check-in review cut from 5 hrs to 1

Every Sunday, 80 online training clients get a WhatsApp check-in for weight, steps, sleep, sessions and energy. Answers land in Google Sheets, AI writes a trend summary and flags who is slipping, and the trainer starts Monday with a sorted digest and drafted replies.

The challenge

An online trainer with 80 clients collects weekly check-ins through forms, direct messages and voice notes, then reads each one and compares it to past weeks from memory. Reviewing them takes most of Monday. Clients who quietly miss sessions or stall are spotted late, and replies turn short and generic by the fortieth message.

The automation

Each Sunday, clients receive a WhatsApp check-in asking for weight, average steps, sleep, sessions completed and a 1 to 10 energy score, plus an optional progress photo. Answers land in Google Sheets beside previous weeks. AI writes a trend summary per client and flags anyone who missed two or more sessions or whose weight trend reversed. The trainer's Monday digest is sorted by who needs attention first, with a drafted reply per client to edit and send.

How it works

  1. 01

    Sunday check-in on WhatsApp

Each client gets a WhatsApp check-in asking for weight, average steps, sleep, sessions done and a 1 to 10 energy score.

  2. 02

    Answers saved to Sheets

Replies and an optional progress photo are saved to the client's row in Google Sheets, next to earlier weeks.

  3. 03

    AI trend summary and flags

AI writes a short trend summary per client and flags two or more missed sessions or a weight trend that reversed.

  4. 04

    Monday digest

At 7 AM the trainer gets a digest sorted by who needs attention first, with non-responders listed at the end.

  5. 05

    Drafted replies

Each client comes with a drafted reply that the trainer edits and sends, so every client hears back.

  • Sunday WhatsApp check-in
  • Optional progress photo

Delivers

  • Weekly log in Google Sheets
  • Monday attention digest
  • Drafted reply per client

The impact

Check-in review drops from about 5 hours a week to 1. Around 85% of clients answer each Sunday, up from roughly 60%, and clients who are slipping hear from the trainer within a day instead of four. Replies stay personal because each draft starts from that client's own numbers.

Questions about this automation

Does the AI reply to clients on its own?

No. The AI only summarizes trends, sets flags and drafts replies. Every message is reviewed and sent by the trainer, from the digest or straight from WhatsApp. The flag rules, such as two missed sessions or a weight trend reversing for two weeks, are set by the trainer and can differ per client.

What if a client doesn't answer the check-in?

A client who hasn't replied by Sunday evening gets one short reminder. Anyone still silent by Monday morning is listed at the end of the digest as no reply, with how many weeks in a row it has happened, so the trainer can personally reach out to clients who are drifting.

What tools and setup does it need?

A WhatsApp Business number, a Google Sheets file with one row per client per week, and an OpenAI account for the summaries. Make sends the questions, collects the answers and builds the digest, and the trainer chooses the questions and flag rules. This is a multi-step build, usually rolled out in stages.
