The challenge

Building each proposal meant copying numbers into a template by hand, which was slow and error-prone. Delays in sending quotes were costing the firm deals.

The automation

We built a Make flow that pulls deal details and the current price list, assembles a branded PDF proposal from a template, and presents it to the rep for a quick check before sending to the client.

How it works

  1. 01

    Rep triggers the quote

One click on the CRM deal starts the flow — no template hunting.

  2. 02

    Data pulled live

Deal details and the current price list are fetched automatically.

  3. 03

    Branded PDF assembled

The proposal builds itself from the firm's template, numbers already in place.

  4. 04

    Quick human check

The rep reviews a finished document in minutes instead of building one for a day.

  5. 05

    Sent to the client

The polished proposal goes out while the conversation is still warm.

Questions about this automation

Where does the proposal pull its numbers from?

Deal details such as the buyer's company, the selected services and quantities come from the CRM deal. Prices come from the current price list, kept in a spreadsheet or in the CRM itself. Both are read live when the rep clicks, so every proposal uses the latest prices instead of numbers copied from an old quote.

Can the proposal template match the firm's own branding?

Yes. The template is built from the firm's existing proposal, with its logo, fonts, standard terms and section order. Fields such as the recipient's name, line items, totals and validity date are filled automatically. The finished PDF is attached to the CRM deal, so there is always a record of what was sent.

Does a rep still review the proposal before it goes out?

Yes. The flow prepares the document, and the rep opens it for a quick check, edits anything unusual and then sends it from the usual email account. Simple automations like this are usually live within days, once the template and the price list are in place.
