Daily API usage now streams into a billing pipeline that applies tiers, prorations and committed-use discounts automatically. Finance reviews clean draft invoices instead of building them, anomalies are flagged before customers see them, and billing disputes have dropped 76%.

The challenge
Billing by call volume meant a month-end marathon: exporting raw usage, wrestling it through spreadsheets, applying tier pricing and discounts by hand, and hoping nothing slipped. Errors did slip — 21 disputes a quarter, credit notes, and customers blindsided by usage spikes nobody warned them about.
Before and after
Month-end billing work
−81%Billing disputes per quarter
−76%Invoices needing manual fixes
−89%The automation
We built a pipeline that ingests usage data daily and prices it continuously. Tier rates, prorations and committed-use discounts are applied per customer as the month runs, so month-end is a review, not a rebuild. Anomaly detection flags unusual swings to the account team — and to the customer — before an invoice exists. Finance receives draft invoices for approval, and approved ones sync straight to accounting.
How it works
- 01
Usage streams in nightly
Call volumes per customer land in the billing pipeline every day, not at month-end.
- 02
Pricing applied continuously
Tier rates, prorations and committed-use discounts are calculated as the month runs.
- 03
Anomalies flagged early
Unusual swings alert the account team — and the customer — before any invoice exists.
- 04
Finance reviews drafts
Draft invoices arrive ready for approval instead of being built from raw exports.
- 05
Synced to accounting
Approved invoices post automatically, with the full usage breakdown attached.

The impact
Billing disputes fell 76% — from 21 a quarter to five — and month-end billing work dropped from 32 hours to six. Invoices needing manual fixes went from 18% to 2%, and surprise-bill escalations effectively disappeared because customers are warned about spikes mid-month, not after.
Questions about this automation
Which pricing rules can the pipeline apply?
Tiered rates, volume bands, prorations for mid-month plan changes, committed-use discounts and minimum charges can all be defined per customer. The rules live in a pricing table rather than in code, so finance can add a new plan or discount without a rebuild, and every calculation is stored with its invoice.
How does anomaly detection work?
Each day's usage is compared with that customer's recent pattern. A swing beyond a set threshold, such as triple the usual daily volume, alerts the account team, and a warning can also go to the customer. Both see the spike in the middle of the month instead of discovering it on the invoice.
Does anything reach customers without finance review?
No. Invoices are created as drafts with a full usage breakdown and wait for finance approval. Once approved, they sync to the accounting system and go out to the customer. Drafts that need a manual adjustment, such as a goodwill credit, can be edited before they are approved.
