Near-expiry stock flagged before it becomes waste

For: Independent pharmacy chain

Typical impact

Expired write-offs down 82%

Every night, Make syncs inventory across all branches, flags products approaching expiry, and picks the best exit for each: markdown labels, a transfer to a branch that sells the item faster, or supplier return paperwork — routed straight to the right branch manager.

The challenge

Each branch checked shelves for expiring stock by hand, usually too late for the supplier's return window. Slow movers expired in one branch while another sold out of the same product, and the chain wrote off around ₪11,000 in expired goods every month — pure margin thrown into the disposal bin.

The automation

We built a nightly Make scenario that syncs stock and expiry data from every branch's POS into one dataset, then sweeps for products entering a 90-day expiry window. For each flagged item, rules pick the best exit: print a markdown label, suggest a transfer to the branch selling that product fastest, or generate supplier return paperwork while the return window is still open. Each branch manager receives a morning WhatsApp task list.

How it works

  1. 01

    Nightly sync

Stock and expiry data from every branch's POS flows into one dataset overnight.

  2. 02

    Expiry sweep

Products entering the 90-day expiry window are flagged and prioritized by value.

  3. 03

    Best exit picked

Rules choose markdown, transfer to a faster-selling branch, or supplier return for each item.

  4. 04

    Routed to managers

Each branch manager gets a morning WhatsApp task list with labels and forms attached.

  5. 05

    Tracked to zero

Every flagged item is followed until it is sold, transferred, or returned.

Starts from

  • Branch stock levels
  • Expiry dates

Delivers

  • Markdown labels
  • Transfer suggestions
  • Supplier return forms

The impact

Expired write-offs dropped 82%, from about ₪11,000 to under ₪2,000 a month, and staff now see problem stock 90 days out instead of two weeks. Transfers move slow items to branches that actually sell them, supplier returns go out on time, and managers spend two hours a week on expiry instead of ten.

Questions about this automation

How does it choose between markdown, transfer and return?

Rules set by the chain decide the exit for each flagged item. A product that sells faster in another branch gets a transfer suggestion, items still inside the supplier's return window get return paperwork, and the rest get a markdown label. Higher-value items are listed first so managers act on them early.

Which data does the nightly sweep need?

It needs stock levels, batch expiry dates and recent sales per branch, synced overnight from each branch's POS or inventory system into one dataset. Supplier return windows are stored per supplier. If expiry dates are not yet recorded at receiving, adding that step is usually the first part of the rollout.

How do branch managers get and close their tasks?

Each morning, every branch manager receives a WhatsApp task list with the flagged items, the chosen action and the labels or return forms attached. Marking an item as sold, transferred or returned updates the dataset, and anything left open stays on the next morning's list until it is resolved.
